Job Description:
Executive Assistant:Four Points Federal Credit Union. is
currently seeking an Executive Assistant to join our team in Omaha,
Nebraska. About The Job:Performs administrative support duties for
President as well as administration duties related to the human
resources software and compliance related activities. The
responsibilities may include taking and managing calls for the
President, managing calendars, event planning and coordination,
project work, making meeting and travel arrangements, and
coordinating financial data. This role will assist in the
administration of the vendor management solution as well as
compliance management related activities to include administrative
duties of current and new policies and procedures. Responsibilities
also include preparing corporate, HR, and Board minutes, notes and
reports, and interacting with and obtaining data from vendors. This
role also handles Executive and Human Resources correspondence and
communication utilizing a broad range of communication methods and
skills and technological expertise.Duties:Manage the Vendor
Management and Due Diligence solution to ensure all proper
documentation is stored and reported on to the Executive Management
team as needed. Assist in the creation, modification and review of
all Credit Union policies and procedures to ensure consistency and
adherence to regulatory requirements as advised by the executive
management team and Compliance Vendor solution. Manage HR Software
to ensure new hires are entered accurately as well as ongoing
maintenance within as needed. Coordinate and administer new
projects for the Credit Union.Manage the enterprise-wide calendar
and coordination of meetings and facilities for various staff and
management meetings, monthly board meeting, annual meeting, NCUA
exams, and vendors. Take meeting minutes and / or notes as directed
by President.Compile and disseminate monthly Board packet, monthly
ALCO packet, Annual Meeting packet and meeting minutes. Manage,
organize, and ensure the proper retention of Board related
policies, decisions, and records. Assist with the annual review,
planning, and utilization of employee benefits and benefits
administration.Update, create, evaluate, and maintain human
resources database as well as the Employee Handbook and Human
Resources policy.Assist in scheduling pre-screenings and/or
arranging phone interviews and/or appointments for applicants,
create offer letters and schedule meetings. Set up background
checks and personnel files as dictated by compliance. Manage
building access cards and communicate facilities needs with
landlord, AGP.Manage the routine and planning necessary for ongoing
compliance specific to the election process, annual meeting, human
resources, and the associated policy reviews.Inventory and order
supplies companywide; manage and order staff clothing orders twice
/ year or as directed according to budget and employee needs.Safe
Act Auditor: audit and review Four Points Secure and Fair
Enforcement for Mortgage Licensing (SAFE) Act policy and procedures
to make sure employees are in compliance. Other duties as
assigned.Education and Experience:Must have 3-5 years of experience
in an administrative setting. Associates or bachelor's degree in
business or related field also preferred. Previous experience in
Compliance Management or Human Resources desired. Excellent oral,
written, and interpersonal communication skills.Strong
organizational skills and strong attention to detail.Strong
computer, software, and hardware skills.Ability to be flexible,
demonstrate initiative to proactively manage and anticipate
President and Executive team's needs and work with minimal
supervision.Ability to communicate and work well with all levels of
internal management and staff, as well as members, outside clients,
vendors, Board of Directors, and member companies in a courteous
and professional manner. Ability to manage multi-functional
tasks.Project coordination experience.Sensitivity to and
appropriate discretion with confidential company information and /
or HR privacy matters.Working knowledge of Microsoft Word, Excel,
Power Point, Outlook, and Publishing application.Compensation and
Benefits:Compensation commensurate with experience. (50-75K Per
