Housing & Support Services programs serve individuals and families experiencing homelessness and those who have significant barriers to obtaining and maintaining housing. Our programs assist individuals with a variety of services which include: Homeless Prevention, Diversion, Navigation, Street Outreach, Rapid Re-Housing and Permanent Supportive Housing. The Administrative Assistant performs semi-skilled duties of a routine nature. A variety of activities may be required.Work Schedule: Monday through Thursday, 8:30 a.m. to 5:00 p.m., and Friday 8:30 a.m. to 2:30 p.m.Essential Duties and Responsibilities Opens and closes office daily.Posts meeting room agendas daily.Assists with inventorying and ordering office supplies bimonthly or as needed.Maintains organized common areas of facility.Performs 50% of reception responsibilities: accurately takes/forwards messages; provides appropriate programmatic information to clients and the public; assists all visitors, clients, and staff in processing their inquiries.Monitors faxes: distributes incoming faxes and assists with outgoing faxes upon request.Monitors incoming public email requests for information and responds appropriately.Assists with fleet management by communicating maintenance needs through email and Outlook calendar reservations and distributing registration and tags.Duplication and collation of program materials.Maintain phone lists and communicate changes to HR.Assists with file management as needed.Performs data entry and uploading documents in various programs.Processes electronic documents for signature in DocuSign.Receives and distributes incoming agency mail and prepares outgoing mail.Assists with maintaining general office equipment, i.e.; postage meter and copy machines.Displays a courteous and caring attitude at all times to the clients, volunteers, and visitors of the agency.Is dependable and punctual regarding scheduling and attendance.Cooperates and collaborates with program area staff, volunteers, and other agency staff.Abides by all specific program and agency procedures, policies, and requirements.Develops personal and program related skills through participation in internal and external training opportunities including printed material and audio and/or visual media.Creates, maintains and shares as appropriate a dynamic self-care plan.Strives to make connections between the agency and the larger community whenever possible in order to contribute to the agency's ongoing fundraising and friend-raising e
