Job Description:


Provides word processing, scheduling, and coordination of appointments for Chief Executive Officer and senior staff. Purchases consumable and other office supplies and equipment, independently composes responses to mail, prepares and distributes agendas for meetings, and works with staff to prepare applications as well as proposals for funding and/or investment consideration. Work also includes assisting senior staff in compiling and assembling information and data for presentation at monthly Board and other meetings.

Essential Duties and Responsibilities include the following:

  • Schedules, coordinates, and cancels meetings for Chief Executive Officer and senior staff.
    • Prepares agendas and composes correspondence replies independently.
      • Provides secretarial assistance to one or more Boards, including coordinating, scheduling, preparing and distributing agendas of meetings, recording and transcribing meeting minutes and forwarding copies of pertinent documents to Board members.
        • Routes mail not requiring Chief Executive Officer's attention to appropriate personnel.
          • Interviews visitors or callers, independently answers questions relating to services and functions.
            • Routes materials and information for necessary action and assists in the development of replies for requested information.
              • Composes and types documents consisting of correspondence, articles, reports, legal documents, specifications, and other materials requiring advanced knowledge of technical terminology. Uses independent action and discretion on problems encountered. Composes and types letters, forms, correspondence, and other materials.
                • Purchases supplies, equipment, and other items needed for use in the office.
                • Maintains a filing system of office correspondence and records. Revises and updates filing as necessary to maintain and efficiently run the office.
                • Identifies and/or gathers sources of material for articles, speeches, and reports.
                  • Arranges travel schedules and makes reservations.
                    • Prepares complex clerical records and reports from a variety of materials involving knowledge of practices and procedures and the use of difficult technical terminology.
                      • Completes other duties as assigned.
                        Supervisory Responsibilities

                        Manages the Secretary position. Is responsible for the overall direction, coordination, and evaluation of this position. Carries out supervisory responsibilities in accordance with office policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

                        Education and/or Experience

                        Four years of progressively responsible experience in secretarial, general clerical work and office equipment required. High school diploma, general equivalency degree (GED) supplemented by courses in business practices and typing required. Knowledge of English, spelling, grammar and punctuation. Bachelor's degree or Associate's degree preferred. Experience in business practices and word processing functions preferred. An equivalent combination of experience and education will be considered.

                        Computer Skills

                        To perform this job successfully, an individual should have knowledge of utilizing the Internet as a resource and be proficient in the Microsoft Office Suite (Outlook, Word, Excel, Publisher and PowerPoint). Knowledge in Visio, Front Page and Access preferred.

                        Other Skills and Abilities

                        Ability to communicate with all levels of people, ranging from low income citizens to top level positions in partner organizations. Must be able to effectively interface with a variety of racial, ethnic, and socio-economic groups. Must pass a typing test with a net accuracy of 65 words per minute or better.
