The HR & Facilities Executive Admin serves as the first impression for the organization and will support programs for both HR & Facilities functions at CSGs Output Solutions Center in Omaha (144th & Chandler Rd).

Job Responsibilities:

  • Provide general team support (office supplies, shipping services, submit/track invoices)
  • Greet and assist all customers, vendors, and/or internal employees
  • Monitor visitor access and provide monthly badge scan report
  • Issue badges, make changes, and void termed/lost badges
  • Maintain security documentation/manuals
  • Maintain key log for office and furniture
  • Monitor, assign, and complete work tickets in both CMMS systems, Jira & Remedy
  • Attend weekly facilities meeting and provide status reports
  • Provide executive support for Output Solutions Center leadership, the Sr Manager of Workplace Management, and the Executive Director of Human Resources
  • Support new hire onboarding (document collection and manual entry)
  • Provide general HR Support (termination packages, HR Calendar)
  • Answer General HR questions for employees
  • Schedule, budget, invoice, and coordinate international and domestic travel (post-COVID)


    • Associate degree and/or equivalent experience


      • 5+ years experience working in an executive administrative role with the understanding of administrative techniques and secretarial functions
      • 3+ years experience with domestic/international travel coordination, scheduling, budgeting, and invoicing
      • Working experience with MS suite including Word, Excel, PowerPoint, Visio, Outlook


        • Working knowledge of Workday (HRIS)
        • Advanced knowledge of MS Excel & PowerPoint

          • Ability to perform complex and high-level administrative duties
          • Ability to support several department leaders
          • Project a highly professional company image through in-person and phone interaction with a demonstrated ability to provide a high level of customer service
          • Ability to work independently
          • Experience working with and maintaining confidential and sensitive information
          • Excellent verbal and written communication skills
          • Strong organizational and time management skills
          • General Human Resources knowledge of state and federal laws
          • Ability to use a personal computer. Proficiency with other Microsoft Office applications
          • Ability to read, write, and speak English in a business environment
