Job Description:
ROLE
Payroll processing and related reports, benefits coordination and
leave administration. Must be able to perform the duties with
little or no supervision and always possess a high degree of
confidentiality.
RESPONSIBILITIES
- Performs all activities necessary to process payroll and
benefits programs, including, but not limited to, data entry,
maintenance of related records, processing involuntary deductions
such as levies and garnishments, documenting and updating
procedures, and preparing special reports for management
- Keeps abreast of current payroll tax requirements and relevant
laws associated with the processing of employee wage data,
including payroll taxes, employee federal and state income and
social security taxes, and other required reporting
- Maintain knowledge of trends, best practices, regulatory
changes, and new technologies in HR and employment law
- Ensure HR practices and policies are in line with Helget's
mission, values, strategy, and goals, as well as up to date with
current legal and compliance standards
- Provide input to and support total rewards, compensation, and
benefit programs
- Process various forms related to documenting human resources
activities such as new-hire, change-of-status, performance
evaluations, benefits, terminations, etc.
- Conducts regular payroll reporting (as required) and assists
with financial audits related to pay records and associated general
ledger
- Processes wage garnishments, pay levies, and other involuntary
court-ordered payments in a timely manner, including reporting to
the necessary State office or jurisdiction and assisting employees
with general process questions
- Assists staff with general questions related to payroll, leave
accruals, wage deductions, fringe benefits, timekeeping system, and
other pay related issues
- Facilitates COBRA administration for all terminations or loss
of status employees
- Oversee Paid Time Off accrual programs and maintain employee
PTO database
- Assist benefits providers with benefit marketing information
and reporting
- Update and maintain payroll and payroll related spreadsheets
for Finance department
- Update and maintain ACA reporting throughout year
- Reconcile Quarterly payroll reports & assist with Work Comp
annual audit
- Reconcile and ensure quarterly report (940/941, unemployment)
is accurate and reconciled with payroll records
- Conduct year-end payroll processing including W-2's, and
related required filings, reconcile reports with payroll records W2
reconciliation
- Manages all benefits plans; processes benefit enrollments,
changes, and terminations for all benefit plans
- Administer risk management, workers' compensation, and ADAAA
compliance
- Monitor FMLA and ADA intermittent leaves to ensure they are
within the determination letter guidelines
- Handles the FMLA leave administration process from the
employee's initial notice of the need for leave to the return to
work. This includes gathering and completing all required
paperwork, determining leave eligibility, designating leave as
FMLA-qualifying, requesting medical certification as needed, and
accounting for intermittent and reduced schedule leave use.
- Maintains reasonable communication with employees on leave to
facilitate smooth and timely return to work; relays communication
between employees and their managers during leave within
reason.
- Advises on the interaction of leave laws with paid time off,
workers compensation, and short-term and long-term disability
benefits.
- Oversees the return-to-work process for employees returning
from extended FMLA, workers compensation, or other leaves.
- Ensure all accidents, incidents, and injuries are reported and
investigated within 24 hours or less
- Evaluates accident reports, ensuring the timely processing of
medical bills and disability benefits; reviews medical reports,
witness statements, department investigation results and other
documentation. Compiles facts and data regarding accident reports
and filed cases.
- Maintains subrogation records and files for those incidents
involving third parties; sends subrogation letters to third parties
to obtain reimbursement.
- Reviews accident reports to identify patterns of injury and to
determine whether unsafe conditions contributed to the accident;
advises departments of trends in injuries and proper safety
procedures that may result in reduction of injuries; provides
department with information that will aid in reducing accidents and
improve safety.
- Receive drug testing and work status results from labs and
hospitals
- Determine if accommodations can be made for all light duty
and/or restricted duty
- Determining and writing return to work letters for employees
out on workers comp leave
- Provide information needed for STD company to process
claims
- Maintain personnel files, I9's & other related forms
- Some evening and weekend work required occasionally, as well as
ability to respond to urgent HR-related questions outside of work
hours as needed
- Other duties as assigned REQUIREMENTS
- Bachelor's Degree or equivalent relevant experience
- 2+ years of benefits administration experience
- 2+ years of payroll experience
- Base knowledge of applicable Federal and State HR/Payroll Laws
(FMLA, FLSA, e.g.) and IRS regulations that impact payroll
- Adaptable to changes in the work environment
- Ability to manages competing demands
- Excellent processing skills and attention to detail
- Strong communication skills within all levels of an
