Job Title: Educational Technician 5 Student Transportation Location: Transportation Center, 3833 N. 72nd St, Omaha, NE 68134 Reports to: Executive Director, Student Transportation Work Schedule/FLSA Status: 12 month/ Non-Exempt Salary Schedule: Salary Grade 36G Position Purpose: This position serves as the primary assistant to the Executive Director of Student Transportation and serves as an assistant for all division administrators under the direction of the Executive Director, as needed. General responsibilities include assisting, planning, coordinating, and implementing administrative assistant and project duties within the Division of Student Transportation. This position will serve as the lead office receptionist answering phones, taking messages, and greeting office visitors. Additionally, this position coordinates all supply orders for the front office and administrative staff. Essential Performance Responsibilities:

  • Serve as assistant to Executive Director Student Transportation.
  • Schedule and maintain Director's calendar and appointments. Organize materials needed for each day's activities.
  • Compose correspondence/reports for Director's signature.
  • Assist in preparing district contracts for services for Executive Director to review.
  • Place calls to businesses, community agencies and schools to obtain requested information
  • Work closely with the community and district staff on resolving transportation related questions and concerns.
  • Coordinate and maintain inventory for main office and managerial staff.
  • Prepare agendas for meetings as requested.
  • Prepare various transportation reports to include maintaining excel spreadsheets complete with formulas to accurately record expenditures to and from vendors. Track, record, maintain and prepare customer service log reports for administrators, as needed.
  • Serve as immediate backup in preparing payroll for submission to Compensation and Benefits and preparing staffing requisitions.
  • Complete travel and conference attendance registration/arrangements.
  • Utilize Infinite Campus, Bus Bulletin, SYNOVIA, Here Comes the Bus to access information as requested.
  • Assist special education department with parent reimbursement for transportation services as needed.
  • Coordinate with the purchasing department on obtaining fuel bids and serve as immediate backup to ordering fuel for the fleet.
  • Communicating routes and route changes to drivers, and prioritizing work orders under the direction of the Executive Director.
  • Assist school personnel with requests for services and information, referring them to the proper persons and/or departments for assistance.
  • Organize and maintain records, documentation, and databases. Filing, data entry, and other recordkeeping.
  • Manage all division supplies, purchasing requisitions, staffing requisitions.
  • Serve as lead in secretarial office.
  • Answer phones and greet internal and external customers in professional manner.
  • Open and distribute the mail.
  • Review and respond to electronic mail, voicemail messages and telephone calls.
  • Create a professional work environment with office staff.
  • Ability to establish and maintain positive working relationships with staff/community and promote professional communication.
  • Ability to perform duties with awareness of School District requirements and School Board.Knowledge, Skills, and Abilities:
    • Minimum of high school diploma or equivalency.
    • Minimum of 3 years previous experience as an administrative assistant to executive leadership.
    • Experience in urban school and/or central district office setting, preferred.
    • A working knowledge of OPS procedures, policies and practices preferred.
    • Proper grammar and English usage.
    • Exceptional keyboarding ability required.
    • Ability to schedule appointments and keep an appropriate calendar of events.
    • Advanced skills in MS Office Suite applications such as Word, Excel and PowerPoint.
    • Knowledge and use of Infinite Campus and PeopleSoft, preferred.
    • Ability to complete mail merges.
    • Ability to lift up to 25 lbs.
    • Experience using PeopleSoft to complete payroll and requisitioning of work materials and supplies, preferred.
    • Possess a high level of independence. Decision-making, accuracy, and constant attention to detail is imperative.
    • Exceptional attendance, punctuality, and work record.
    • Ability to manage multiple priorities.
    • Possess and be proficient in math skills.
    • Ability to professionally communicate with the public and school personnel using tact and courtesy.
    • Ability to maintain strict confidentiality of information.
    • Excellent organizational and decision-making skills.
    • Ability to meet demanding work schedule and adhere to all deadlines.
    • Ability to operate various office machines such as copier, scanner and facsimile machine.Additional Duties: Performs other related tasks as assigned by supervisor. Equipment: This position may require the ability to use basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with OPS's guidelines for equipment use. Travel: Limited travel within the District may be required. Physical and Mental Demands, Work Hazards:

        • Will be working under the direct supervision of the department supervisor to complete day to day tasks.

        • Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
        • Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer service.Employee Punctuality and Appearance
          • For schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
          • Any deviation from assigned hours must have prior approval from the employee's supervisor or building administrator.
          • All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.
          • Regular attendance is important.Terms of Employment This position is treated as a full-time non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment or teaching in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time, and the Teacher Contract. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.
